Getting started - The Basics

Welcome to VivifyScrum!

This guide is here to help you with the first steps you need to take in order to get ready to work in VivifyScrum. Once you complete these basic steps, you can find more information and answers in other articles within the How It Works section.

Without further ado, here are the steps:

  1. Create your first Board

    You’ve completed the registration with your name, email address and password. VivifyScrum automatically created your first Organization. Your first task is to create the first Board. Click on the “Add New Board” button. Enter the Board title, choose the Board type (Scrum or Kanban), upload the Board logo (optional) and you’re set. On to the next step.

  2. Invite Your Team

    Assuming you won’t be working alone, this is the right time to invite your team members. Go to the “Team Members” page (eighth icon in the sidebar) and click on the plus icon (+). Enter the email address of your team member, choose the permission (Admin, Write, Read & Comment, Read only) and click invite. You can invite as many people as your plan allows.

  3. Create items on your Board

    Go back to the Product Backlog page. Click on the plus icon (+) in any of the columns on the Board or press key “a” on your keyboard to add a new item. The item title is the only thing that is required. Add as many items as you need. For more information about all the things you can add and edit on your items, go to the Product Backlog Item page.

  4. Customize your Board

    Not all the teams have the same workflow. VivifyScrum offers default columns - Backlog and Sprint 1 for Scrum boards; To Do, In Progress and Done for Kanban boards. You can add as many columns as you need to match your workflow (like Ready, In Review, Test, etc.). Just click on the plus icon (+) next to the last column in the row. Use drag and drop reordering to set columns in place on your Board.

  5. *Scrum Board Only* Start your first Sprint

    Once you fill up your first Sprint column with the desired items, it’s time to start working. Click on the three dots in the upper-right corner of the column and choose “Start Sprint” from the drop-down menu. Define the start and the end dates of your Sprint. Don’t forget you can also customize the columns in your Active Sprint, just like you did on your Product Backlog.

  6. Get an overview of your assignments

    By clicking on your name in the lower-left corner of the screen, you’ll access the "My Assignments" page. Here you’ll be able to see items you are assigned to across all Boards you belong to.

  7. Don’t miss anything that happens on your Boards

    From the “My Assignments” page, the “Notifications” page is just a click away. On the Notifications > Settings tab you’ll find detailed settings about the notifications you want to receive. There are three types of notifications - email, desktop and in-app.

Sidebar

VivifyScrum has a sidebar menu on the left. The sidebar contains Organizations and Boards within those Organizations. You'll be able to see the Organizations you create, Organizations you are a member of and Organizations within which the Boards you are a member of are. The sidebar is collapsible. It is quite easy to differentiate Organizations from Boards in the sidebar, even when collapsed. The Organizations have a round logo and the Boards have a square one.

The "Add New" buttons in the sidebar allow you to create new Organizations and new Boards within the existing Organizations.

At the bottom of the sidebar, you will see your avatar. By clicking on it you can access the following pages:

On the Profile page, you can also find a Log Out button in the upper right corner.

Basic Terms

Boards

A Board (Scrum or Kanban) represents a set of Items one Team works on. It gives the Team the opportunity to collaborate and enables them to track their performance. Boards are customizable which lets you visualize your workflow better. 

Organizations

To start your work in VivifyScrum, you need to create your Organization. The default name of an organization is [User name] Private Organization. All Boards you create will be in your Organization. Other Boards you don’t own belong to different Organization. You can group related Boards within an Organization.

Projects

A Project gives you an overview of all connected Boards, all Team Members included in the Project and their Engagements on it. Don't mix up Projects with Boards that are used for Team collaboration. Link Boards that are relevant to the Project to get a quick overview of all work that pertains to the Project. You can create multiple Projects your Team Members work on. You can track the progress of the Projects and Team Members' engagements.
